A curriculum vitae (CV) is a comprehensive, biographical document emphasizing ones professional qualifications and activities. CVs are used for the academic job search and for fellowship applications. Kiyomi Deards is an assistant professor with the University of Nebraska-Lincoln University Libraries. She is the librarian for chemistry, biochemistry, biological sciences and the Cedar Point Biological Station, and the incoming physics librarian. Ms. Deards belongs to several professional organizations focused on libraries, education, science, and technology. She is the outgoing manager of the website for the Association of College and Research Libraries (ACRL) Residency Interest Group. Her research and educational interests are in STEM education and career issues, diversity, library management, mentoring, and teaching. She maintains a personal blog and website, LibraryAdventures.com.

Career Notes, February 1: E-Mail Tips and Etiquette

Below are some notes from February 1′s E-Mail Tips and Etiquette discussion.

Being an effective communicator through e-mail is a necessary skill in today’s workplace. Check out the following website, which provides a good overview of the how-tos and taboos of e-mail communication. Some highlights from the workshop discussion include:

Make sure your name is displayed properly: Doublecheck your settings to make sure that your name will be displayed on outgoing messages; for some e-mail providers, the default may be to copy your actual e-mail address. In other words, recipients may see a message from “smithy1234@illinois.edu” in their Inbox rather than one from “John Smithy,” which is preferable. Personalizing your settings this way reduces confusion as well as wasted time for your intended recipients.
Keep your signature files small: This is especially true of those signatures that also include quotes, kitschy ASCII designs, or other unnecessary items that may not be seen as professional.
Always type something in the Subject line and Update the Subject line as necessary: A brief summary not only is a subtle sign of respect for your busy recipients as they scan their Inboxes, but also allows you to more easily find and retrieve the message later if necessary.
Use punctuation and Use sentence case: It can be tempting to abbreviate e-mails in the interest of time, but remember that e-mails are not the same as text messages. Not heeding these two elements may make you appear sloppy, unprofessional, and confusing.
Use proper names: Especially in academic circles, it is also recommended to address someone according to their more formal title (e.g. Professor Jones) rather than their first name when first communicating with them. Only after they have signed an e-mail back to you with their first name should you then refer to them by it.
Use “bcc” for multiple recipients: Privacy is especially important when you are e-mailing a large group of people who may or may not want their personal information available.
Don’t assume privacy: Related to the above point, you never know when another party is being “bcc”ed to an e-mail, nor who else has, can, or will later see it. Assume transparency.
Return confirmation emails: This helps avoid confusion and ambiguity, particularly when setting up meetings.
Know when not to press Reply All: Many of us have fallen prey to, or known someone who has accidentally sent a message intended for one person to an entire group, or vice versa. Not only should you be aware of when it is appropriate to e-mail the whole group and when it is okay to e-mail one individual person, but always doublecheck that you are actually sending it to whomever you are actually intending to send your reply
Keep your inbox clean: Folders can help keep your inbox from becoming cluttered as well.
Never recall a message: Recalling does not actually prevent your message from being sent/received. By using this, you are only further drawing attention to your original message, and any errors you may have made in it.

The Graduate College Career Services Office is dedicated to providing support for academic and nonacademic career planning and job searching for Illinois graduate students and postdocs. Career services staff are also knowledgeable about expanded career options for advanced degree holders and are happy to serve as a resource for all graduate students, including those with changing career goals or who are experiencing difficulties in their program. Through advising, workshops, and online resources, we can help faculty support their students with the job search, save faculty time by educating students about the job search process, and enhance Illinois graduates’ competitiveness.
